Choose your email client below for step-by-step instructions. Make sure you've copied your signature from the editor first.
Copy your signature in the editor before following these steps β use Copy visual for most clients, or Copy HTML for Thunderbird.
1Open Gmail and click the Gear icon in the top right corner.
2Click "See all settings".
3Scroll down the General tab to the Signature section and click "+ Create new". Give your signature a name.
4Click inside the signature text box and press Ctrl V(Windows) or β V(Mac) to paste.
5Set your Signature defaults for new emails and replies below the editor.
6Scroll to the bottom and click "Save Changes".
1Open Outlook and go to File β Options.
2Click "Mail" in the left menu, then click the "Signaturesβ¦" button.
3Click "New" and give your signature a name.
4Click inside the "Edit signature" box and press Ctrl V(Windows) or β V(Mac) to paste.
5In the top right dropdowns, set defaults for New messages and Replies/forwards.
6Click "OK" to save.
1Click the Gear icon in the top right and open Mail β Compose and reply.
2Under "Email signature", click "+ New signature" and give it a name.
3Click inside the text box and press Ctrl V(Windows) or β V(Mac) to paste.
4Choose your default signatures from the dropdowns below, then click "Save".
Copy your signature using Safari. Safari and Mail are built on the same engine, so the copy carries across intact. Copying from Chrome or Firefox is the most common reason a signature arrives in Mail looking scrambled β it costs nothing to switch browsers for this one step.
1In Safari, copy your signature.
2Open Apple Mail and go to Mail β Settings (or Preferences on older macOS).
3Click the Signatures tab.
4Select your email account on the left, then click [+] in the middle column to create a new signature.
5Important: uncheck "Always match my default message font" β this ensures your signature's formatting is preserved.
6Delete any placeholder text in the right column, then press β V to paste.
7Close the settings window to save.
8Send yourself a test email. Judge it there, not in the Settings preview β the preview is not what recipients see.
Looks right? You're done. If not, try the two fixes below.
If the test email didn't look right
1Re-copy it in Safari and paste again, if you used another browser the first time. This alone fixes most problems.
2Turn the icons off. In the builder, clear the icon on each contact field, then copy and paste again. Apple Mail handles signatures without images almost perfectly β you lose the small icons, everything else stays.
Still not right? Install it as a file (advanced)
Apple Mail is the only major email client that needs a workaround like this β it's the same method HubSpot and other signature tools document. It keeps the design exactly as built, but you'll be editing a file in your Library folder. If that's not for you, option 2 above is a perfectly good signature.
1Create a signature in Mail as above, typing any short word you'll recognise, then quit Mail completely (β Q).
2In Finder press β§ β G, enter ~/Library/Mail/, then open the V* folder inside it and go to MailData/Signatures/.
3Open each .mailsignature file until you find the one containing the word you typed. Open it in TextEdit.
4Leave everything above the <body> tag exactly as it is. Replace everything after it with your copied signature HTML, then save.
5Select the file in Finder, press β I, and tick Locked. This stops Mail overwriting your work.
6Reopen Mail and send yourself another test.
Using a logo? Save it as a PNG or JPG. Newer formats like AVIF and WebP display on a Mac but show as a broken image in Outlook and most other mail clients β so it looks fine to you and broken to the people you're emailing.
Thunderbird requires the raw HTML code rather than the visual copy. Use Copy HTML in the editor before following these steps.
1Go back to the editor and click "Copy HTML".
2In Thunderbird, right-click your account in the left panel and select "Settings".
3Locate the "Signature text" box.
4Check "Use HTML" to enable HTML signatures.
5Paste the HTML code into the text box with Ctrl V, then close the settings tab to save.
