Phone extensions

Type the extension straight into the phone field, after the number:

416-207-9993 x1234

Sigly recognises it and renders (416) 207-9993 ext. 1234. There's no separate extension field to fill in — the extension travels with the number, which is what makes it work everywhere else in this guide.

All of these are understood, so you don't have to standardise your team before importing:

Whichever style each person uses, everyone's signature comes out reading the same way — which is the whole point of managing signatures centrally.

With tap-to-call switched on (it is by default), the number becomes a link that carries the extension too:

tel:+14162079993;ext=1234

That's the standard format for extensions in a phone link. A softphone or mobile that supports it dials the main number and then the extension automatically; anything that doesn't simply dials the main number — so there's no downside to including it.

One signature covers everyone, and each person's own number is merged in — so the extension belongs wherever their phone number already lives, not in Sigly.

Microsoft 365

Add the extension to each person's business phone in the Microsoft 365 admin centre or Entra ID — for example 416-207-9993 x1234. Re-sync your directory on Dashboard → Microsoft 365 and every signature picks it up. Your directory stays the single source of truth, so a staff change is made once, in the place your IT team already maintains.

Google Workspace

Same idea: put the extension in the user's work phone in the Google Admin console, then re-sync on Dashboard → Google Workspace.

CSV import

Give your spreadsheet an Ext column containing just the extension number — Sigly joins it to each person's phone automatically. Extension, Ext., Phone Ext and Office Ext are all recognised too, so you usually don't need to rename anything.

Leave the cell blank for anyone without one, as with Sam above. You can also put the extension straight in the phone column if you prefer:

Leave the extension off their number — nothing else to do. Sigly only adds ext. when there's an extension to add.

The same applies to whole fields: if someone has no mobile number, the Cell: line disappears from their signature rather than showing an empty label, while colleagues who do have one still get it. One signature genuinely covers a team with mixed details.

• Don't put the extension in a separate line like "Tel: 416-207-9993 Ext: 1234" using an extra field — it breaks the tap-to-call link and reads as two phone numbers.
• Direct dial beats an extension where you have it. If a person has their own DID number, use that instead; recipients reach them in one step.
