How to roll out email signatures to a team with CSV

Import your entire team from a spreadsheet, assign signatures by department, and hand each person a personalised signature — no email platform integration required.

The CSV method is ideal when your team isn't on Microsoft 365 or Google Workspace, or when you simply want a manual rollout. It works for any business, on any mail system.

Create your signature designs

First, build one or more signature templates in the signature builder and save them — for example a "Company Default", a "Sales" version, and an "Executive" version. You'll assign these to people in the next steps. (See creating a signature if you're new.)

Create a team

Go to Dashboard → Team and create a team (for example, your company name). Team signatures are a Premium feature.

Import your people from a CSV

Prepare a spreadsheet and export it as CSV. The only required column is Email. Sigly also recognises, in any order: Name, Title, Department, Company, Phone, Ext, Mobile, Address, and Website.

Download an example CSV to see the exact format. Then upload it on the Team page. Re-uploading later updates existing people (matched by their email), so it's easy to keep your roster current.

Assign signatures

Set a default signature for everyone, then override individuals or whole departments. The Bulk assign control applies one signature to everyone in a department at once — so "everyone in Sales gets the Sales signature" is a single click. With Personalise switched on, each person's own name, title, and contact details are merged into the template automatically.

Staff on a shared main line? Give your spreadsheet an Ext column with just the number (103) — Sigly joins it to the phone automatically. Putting it in the phone column (416-207-9993 x103) works too. See phone extensions.

Distribute the signatures

You have two ways to get signatures to your team:

Employees install in one click

When a team member opens their link, they see their finished signature and press Copy signature, then paste it into their email app. There's an install guide linked right on the page for Gmail, Outlook, and Apple Mail.

This is what lands in front of them — no login, no account to create, nothing to install:

Each person's link is unique — their own details are already filled in.

The Copy as HTML button is there for desktop Outlook, which pastes more reliably from source than from a rich copy. Everything else can use the main button.
